Terms and Conditions of Sale
Please read the following terms and conditions carefully – when you buy a ticket by telephone, over the counter or online, you are agreeing to our terms and conditions of sale.
Please check your ticket details carefully as we can’t guarantee that mistakes will be rectified after the booking has been confirmed.
In these terms and conditions ‘we’, ‘us’ and ‘our’ means The Ultimate Picture Palace Community Cinema, a Community Benefit Society. Registered Society 8133.
1. The management reserves the right to refuse admission. The Ultimate Picture Palace (UPP) reserves the right to request that ticket holders leave the cinema at any point on reasonable grounds, including for health and safety, licensing reasons, or where we believe other users’ comfort, enjoyment or security may be affected and may take any appropriate action to enforce this right.
2. Online sales are available up to 30 minutes before the advertised start time, unless otherwise stated and subject to availability. A non-refundable booking fee of 75p per ticket applies to these bookings.
3. Tickets purchased online must be paid in full at the time of booking.
4. All tickets, price types and discounts are subject to availability, can be changed and/or withdrawn without prior notice and do not apply to tickets already purchased. The UPP reserves the right to introduce offers and price changes without prior notice. The price of the ticket shall be the price set at the time we accept your order.
5. Where a concession is claimed, proof of identity and concession entitlement may be required and only one reduction can be applied to each ticket. Reductions may be limited. People who require a personal assistant (PA) to accompany them are entitled to a free ticket for their PA. PAs and carers are not entitled to free tickets when not accompanying the person they assist.
6. Tickets are sold for private use only and are not for resale for commercial gain to the holder. If we have reason to believe that tickets are being resold we may invalidate them and refuse entry to the performance. The UPP will not be responsible for any ticket that is lost, stolen or destroyed. Duplicates may be issued at our discretion.
7. All tickets are sold subject to the UPP’s right to alter the advertised programme, screening without prior notification.
8. Tickets are held at our Box Office at The Ultimate Picture Palace, Jeune Street, Oxford, OX4 1BN unless otherwise stated. Where ticketing is hosted by a third party (ie. for some special events), the UPP is not responsible for tickets. In that instance, these terms and conditions will not apply.
Event management
9. Please note that screenings start at their advertised times. Tickets may not be available for purchase after the screening start time.
10. Events may be age restricted and it is the responsibility of the ticket holder to check before purchasing. Refunds may not be issued if the ticket holder has purchased an incorrect ticket type.
11. Latecomers will be permitted at the Duty Manager’s discretion. Pre-booked tickets can be collected if the screening has commenced, however latecomers (if permitted) will be seated by staff to minimise disruption to other members of the audience, and may not be able to take the seats designated on their tickets.
12. The unauthorised use of photographic or recording equipment, including mobile phone cameras, is not permitted in the auditorium.
13. Please ensure that mobile phones are turned off or to silent before the start of the performance/screening.
14. Ticket holders must comply with all relevant statutes, safety announcements and venue regulations whilst attending the event.
15. If customers have any special requirements or concerns about any special effects which may be featured at the event, they should let the UPP know prior to booking. Special effects may include, but not be limited to, sound, audio visual, or lighting effects.
Exchanges and Refunds
16. Exchanges may be given at the discretion of the Duty Manager, and where the exchange has been requested at least 24 hours prior to the event. The exchange can be for another screening up to one month ahead of the advertised start time and subject to availability. Where the new screening is of a higher cost, the price difference will be charged, but if lower we regret we will not be able to offer a refund.
17. The UPP regrets that tickets cannot be refunded except in the case of a cancelled screening / event.
18. Booking fees (where applicable) are non-refundable.
These Terms and Conditions do not and shall not affect your statutory rights as a consumer.
Members’ tickets
19. Customers with an Annual Membership will be offered a discount on each ticket booked for most performances in our programme. Only Ultimate Membership holders can claim a discount for them and a guest.
20. As a benefit of UPP Annual Membership, UPP Members are issued with a number of free tickets depending on the UPP Membership type. The Member free tickets are automatically applied to the online membership account at point of joining or renewing and must be redeemed within 12 months as they will expire with that year of membership.
21. All 15-25 Member tickets are £5 for regular off-peak screenings (Mon-Thurs) and £6.50 during peak times (Fri-Sun).
22. Some screenings and events will not have deductions available for Members.

Privacy
When making a booking with us your personal information is processed through our Box Office system.
We use your information to:
– To fulfil ticketing and/or donation requests (including confirmation of your booking or donation by email and/or letter)
– Process payments (Please note we do not store any credit card or other payment information once the transaction has been completed.)
– Provide the best possible customer service and to help us with our internal administration
– Contact you with important information relating to your booking or donation, such as confirming your order, reminding you of an upcoming event you’ve booked for or letting you know about updates to event details
We are committed to protecting your personal information and being transparent about what information we hold about you. Tickets are sold subject to the Data Protection Act 2018, UK GDPR and any subsequent amendments. Our Public Privacy policy is available on our website.
